[Notice] Equipment Use & Reservation Guidelines
To ensure a productive research environment and efficient equipment management, please strictly observe the following guidelines:
1. Booking Cancellations & Changes
- Operating Hours: Equipment reservations and usage must be conducted within the technician's regular working hours. (Notice of any weekday closures or holidays will be posted 7 days in advance).
- After-Hours Liability: If you use the equipment outside of regular working hours (weekends, holidays, etc.) and an issue occurs, it will be handled as user negligence. In such cases, the user will be held fully liable for all associated expenses, including the full cost of restoring major parts to their original state.
- No Same-Day Cancellations: Same-day cancellations are strictly prohibited to avoid disrupting other researchers' schedules.
- Cancellation Notice: If you must cancel due to unavoidable circumstances (sample issues, equipment errors, etc.), you must notify the equipment technician via phone or email at least one day in advance.
- 30-Minute Billing Policy: This policy is designed to allow flexible scheduling (e.g., 1.5-hour slots) when making your initial booking. It is NOT a refund or discount policy for finishing your experiment early. To book in 30-minute increments, you must state this in the 'Comments' section for the billing to be applied correctly.
- To protect high-end precision equipment and prevent overheating, equipment must be powered off after use. Startup time (15–30 minutes) and shutdown/cooling time (10+ minutes) are included in the total usage time, so please include them when making a reservation.
2. Equipment Logbooks
- To ensure accurate usage fee billing and prevent unauthorized equipment use, the weekly reservation sheet (Sunday to Saturday) will be posted in front of each machine every Monday morning. All users are kindly requested to check off ( O or V) their reserved times on the sheet upon arrival. If your reservation is not listed on the sheet, please write down your details manually (Name / Advisor / Check mark) before using the equipment.
- Please check and follow the specific internal rules for each instrument before and after use, and ensure you fill out the equipment logbook.
- If your information on the RETINA portal (name/time) does not match the actual logbook entry, it may result in penalties, including formal warnings and restrictions on future equipment access.
3. Lab Safety & Etiquette
- In compliance with Laboratory Safety Laws, no food or drinks are allowed inside the equipment room under any circumstances.
- You must retrieve all remaining samples and waste and take them back to your own laboratory immediately after your experiment.
